Applies To: All MBHS Institute Students, Funding Partners, and Sponsoring Organizations
MBHS Institute is committed to maintaining clear, consistent, and timely financial practices.
This policy establishes MBHS Institute's payment expectations for third-party funded, sponsored, self-pay, and payment-plan students and explains the procedures that may apply when a student account remains unpaid or otherwise unresolved.
This policy applies to students receiving funding through third-party funding partners and sponsoring organizations, including but not limited to:
When a funding source has officially approved a student's training, the funding source is responsible for paying MBHS Institute the amount authorized under its approval, voucher, authorization, purchase order, funding agreement, or other applicable documentation.
The student is not personally responsible for an amount the funding source has approved to pay solely because the funding source has not yet remitted payment.
A payment delay by a funding source does not automatically transfer the authorized amount to the student.
MBHS Institute will work directly with the applicable funding source regarding invoices, required documentation, payment status, and remittance.
MBHS Institute will generally issue the applicable tuition invoice on the student's official program start date.
Unless otherwise stated in writing, the student's official program start date and invoice date will be the same date.
MBHS Institute's standard payment expectation for an authorized third-party funded amount is payment within thirty (30) calendar days of the student's official program start date and invoice date.
The student's official start date/invoice date is Day 1.
For example:
Accordingly, an invoice and program start date of September 1 has a standard payment deadline of September 30.
If an applicable funding authorization, executed agreement, contract, voucher, government program requirement, or other controlling requirement establishes a different payment timeline, the applicable agreement or requirement controls.
Funding partners and sponsoring organizations are expected to:
MBHS Institute will provide required invoices and supporting documentation in accordance with applicable funding requirements.
A status update stating that payment is approved, pending, processing, scheduled, awaiting authorization, or otherwise expected does not constitute payment and does not automatically extend the payment deadline.
Funding sources are requested to communicate anticipated payment delays to MBHS Institute before the applicable deadline.
MBHS Institute may approve an alternative payment arrangement or extension in writing when circumstances warrant additional processing time.
Any discretionary extension or alternative arrangement must be approved in writing by MBHS Institute.
If an authorized amount remains unpaid after the applicable payment deadline and no approved written arrangement, extension, or controlling agreement provides otherwise, the student's account will be considered unresolved.
The student may be administratively withdrawn from the program for an unresolved sponsored account.
Before administrative withdrawal, MBHS Institute will review the applicable funding authorization and payment terms and make reasonable efforts to contact the funding source regarding the outstanding payment.
Administrative withdrawal may result in termination of access to:
MBHS Institute will provide written notice of administrative withdrawal to the student and may provide notice to the applicable funding partner.
Withdrawal because a funding source has not paid does not, by itself, make the student personally responsible for the amount
that the funding source authorized.
A funded student is personally responsible only for an amount that:
MBHS Institute will not transfer a funding source's unpaid authorized obligation to the student solely because payment is delayed.
MBHS Institute will not refer an authorized funding amount to collections against the student solely because the funding source has failed to remit payment.
MBHS Institute will pursue the authorized amount directly with the responsible funding source, subject to the applicable agreement and program requirements.
Self-pay students are responsible for tuition, fees, and other authorized amounts identified in their signed enrollment and payment agreements.
Students selecting a Pay in Full option must satisfy their payment obligation according to the deadline established in their enrollment or payment agreement.
Failure to satisfy the required payment obligation may result in suspension of program access or administrative withdrawal in accordance with this policy and the student's applicable agreement.
Students approved for an MBHS Institute payment plan are responsible for complying with the written terms of their payment arrangement.
When applicable, payment-plan students must:
Participation in a payment plan does not reduce the student's total financial obligation.
A payment-plan student who fails to maintain the agreed payment schedule may be subject to administrative action, including suspension of program access and/or administrative withdrawal, according to the applicable written agreement.
MBHS Institute will notify students of overdue amounts that are personally their responsibility and provide an opportunity to resolve the outstanding balance.
Students experiencing financial difficulty should contact MBHS Institute before a scheduled payment becomes delinquent whenever possible.
MBHS Institute may approve an alternative arrangement in writing.
Subject to the student's signed agreement and applicable law, an unresolved student-responsible balance may be referred to a third-party collection agency.
This collections provision does not apply to an amount that a funding source has authorized and remains responsible for solely because the funding source has not yet paid MBHS Institute.
A student who has been administratively withdrawn under this policy must receive MBHS Institute approval before returning to the program.
Reinstatement may require, as applicable:
Reinstatement is not automatic.
Reinstatement is subject to program availability, academic progress, applicable funding requirements, and MBHS Institute approval.
If returning to the original cohort is no longer academically or administratively appropriate, the student may be required to enter a future available cohort.
Students receiving third-party funding are responsible for:
Students are not responsible for performing the funding partner's invoicing or remittance obligations.
This policy is effective October 1, 2026.
For students whose applicable 30-calendar-day payment deadline occurred before October 1, 2026, administrative withdrawal under this policy will occur no earlier than October 1, 2026.
MBHS Institute may provide written notice and an opportunity for the funding source or student, as applicable, to resolve the outstanding account before administrative withdrawal.
This policy establishes MBHS Institute's general institutional payment and outstanding-balance requirements.
If this policy conflicts with an applicable:
the applicable controlling agreement or requirement will govern.
Nothing in this policy is intended to transfer a funding source's contractual payment responsibility to a student or to supersede requirements MBHS Institute is legally or contractually required to follow.
This policy is separate from MBHS Institute's Refund and Withdrawal Policy, Attendance Policy, Student Behavior Policy, and other applicable institutional policies.
Administrative withdrawal under this policy does not automatically determine whether a refund, tuition adjustment, or remaining student-responsible balance is due.
Any such determination will be made according to the applicable enrollment agreement, MBHS Institute policy, funding requirements, and applicable law.
MBHS Institute may review individual circumstances and approve alternative payment arrangements, extensions, or other exceptions when appropriate.
Any discretionary exception or modification must be authorized by MBHS Institute in writing.
MBHS Institute reserves the right to revise this policy as necessary to maintain appropriate financial, administrative, contractual, and regulatory practices.
